Please carefully read all the information on this page to help you to choose flights with suitable arrival and departure times. You should wait to receive approval of your registration from your Country Coordinator before making any travel arrangements. Once you have received your approval email, we recommend planning to fly into and out of Kraków Airport (KRK) as it is the closest major airport to the conference venue in Małe Ciche.
The deadline for submitting all travel information is midnight (UTC) on Lord’s Day, 8 June 2025.
Conference Shuttle Service
The Conference can provide pick-up shuttles from Kraków Airport (KRK) to Małe Ciche and drop-off shuttles after the conference back to Kraków Airport (KRK). You must indicate on the registration form if you would like to request shuttle transport in either or both directions. The shuttle fee will be added to your registration.
Please pay attention to the Conference shuttle availability before booking your flights.
Pick-up Shuttles from Kraków Airport (KRK)
- Saturday, 26th July 2025 (for flights arriving before 5:30pm)
The last Conference shuttle on Saturday will leave the airport shortly after 6pm. If your flight is scheduled to arrive after 5:30pm, then you may need to arrange your own accommodation and request a Conference shuttle for Lord’s Day, 27th July 2025. - Lord’s Day, 27th July 2025 (for flights arriving before 1:30pm)
The last Conference shuttle will leave the airport shortly after 2pm. This will allow for the shuttle buses to arrive at the Conference in time for dinner and the first meeting.
Drop-off Shuttles to Kraków Airport (KRK)
- Saturday, 2nd August 2025 (for flights departing after 3pm)
For saints in the EYPC, where possible, consider booking flights in the evening as this will give you a more comfortable departure time from the conference venue with less likelihood of missing part of the final meeting on Saturday morning. Note that we schedule departures from Małe Ciche a minimum of 5 hours before flight departure time in case of traffic on the way. - Lord’s Day, 3rd August 2025 (for flights departing after 9am)
In order to get the saints to the airport in time for 9am flight departures, the first Conference shuttle to leave Małe Ciche could be as early as 4am. Please note that even if your flight is later in the morning, you may be allocated to the first bus depending on bus capacities and the flight times of other saints.
Drop-off Shuttles to Kraków City Centre
- Saints from North America
The saints travelling together from North America will depart from Małe Ciche on Saturday after the last conference meeting, and will be dropped off at the hostel(s) in Kraków where they are staying on Saturday night. Please select this option on your registration form. If you have any questions concerning this, please contact your Country Coordinator. - Other saints who would like to be dropped off in Kraków City Centre
This year (2025) it is possible, but not guaranteed, that we may be able to provide a drop off to a central location in Kraków City Centre. This will depend on the timing and demand for this option. Priority will be given to making sure everyone gets to the airport in time to catch their flights. If we are not able to provide this option, then we will drop you off at Kraków Airport, as in previous years.
Frequently Asked Questions (Conference Shuttles)
Can I book a flight outside of these times or on a different day?
If any individuals book flights outside of these indicated times, please do NOT expect an exception for special shuttle arrangements to be made for you by the Conference. You will need to make your own travel arrangements to the conference venue either by public transport or by taxi/Bolt/Uber. Please see the ‘Making Your Own Way to Małe Ciche’ tab on this page.
Conference-arranged transport from any other place and on any other date can only be made by special arrangement in coordination with your Country Coordinator and only if you are travelling with a group of 20+ saints. The Transport Team may be able to help these large groups to pre-book transportation but will not be at the airport to wait for you.
For departures, in the event that the Conference does help small groups to coordinate transport outside of our announced shuttle days and times, be prepared that the out-of-hours transport fee will be as high as 50 EUR per person, per direction. This price will be set based on the bus size and the largest group size on the bus booked on your behalf (and please remember that it is not guaranteed that we provide this). If you are a family or small group travelling together, then making your own private arrangements by taxi/Bolt/Uber will likely be cheaper.
Does the Conference provide shuttles to/from airports other than Kraków Airport (KRK)?
The Conference, together with your Country Coordinator, may be able to help arrange transport from Katowice Airport (KTW), Rzeszów (RZE) Airport, or Przemysł for large groups (at least 20); however, this is not an option for individual saints.
Typically, this option is for the saints from a particular country who do not have a way to fly into or out of Kraków Airport (KRK). Please contact your Country Coordinator if you have any questions related to this.
How do I request a shuttle?
Please use the Travel Info page of your registration form to supply your travel details and to make a shuttle request. If you selected that you are arriving directly to Małe Ciche, then this will not be an option. Change your arrival location to the airport or place of arrival to Poland, if necessary. The same applies for departure shuttles.
What is the cost for the shuttles?
This year’s fees can be found on the Conference Costs and Fees 2025 page from the menu above. Please note that the shuttle fees listed are per person and per direction (i.e. for a one-way journey).
When you register, if you indicate that you are arriving by plane, then the registration form will provisionally add the cost of the shuttle fee to your payment calculation so as to reduce the likelihood of your needing to make an additional payment when you later add your travel information. If you complete your travel information before paying, then the payment calculation will take into account whether you are booking a shuttle or not.
If you are from outside of Europe, then the shuttle fees are already included in your applicable package fees. As this is a flat fee, there is no refund if you opt out of transport provided by the Conference.
What should I do if my travel plans change?
I did not book a shuttle but now I need one. Is it possible to request a shuttle?
If it is before the travel information deadline, please log to your registration form and update the Travel Info page to select ‘Yes’ to needing a shuttle. There will be an additional shuttle fee to pay for each direction, which will be shown on your Payment page.
If the travel information deadline has passed and you are no longer able to edit the Travel Info page of your form, please email the Transport Team as soon as possible at transport@ypconference.eu. Please clearly specify the names of each registrant these changes apply to and provide all the updated travel information.
I am from North America; which options should I choose on the Travel Info page?
Saints travelling from North America should pay attention to the specific information provided by your Country Coordinator regarding arrival and departure travel times.
For the majority of saints from North America, you should choose on the form:
- Arrival day to Małe Ciche: Saturday (one day early)
- Shuttle pick-up: Yes
- Departure day from Małe Ciche: Saturday (the day the conference ends; you will stay Saturday night in Kraków).
- Shuttle drop off: Yes
- Drop off location: Other → Hotel in Kraków

Do I need to bring a car seat for my child?
Babies (up to age 2) can sit on their parent’s lap; if you select this option on the registration form, you must keep your baby on your lap as a seat will not be allocated to them.
Arrivals and Pick-ups
My arrival flight arrives early in the morning to Kraków Airport (KRK). What should I do?
What happens after I request a pick-up shuttle from Kraków Airport (KRK)?
You will receive an email, typically in July, asking you to check your travel details and to confirm that the bus you have been assigned to is suitable. Please follow the instructions to log back in to your registration form and confirm your travel details and that the bus time is suitable. If the time is not suitable, then please inform the Transport Team immediately.
What should I expect when I arrive to Kraków Airport (KRK)?
Each person must check in with the Transport Team. As you are checked in, you will be assigned to specific buses on a first-come, first-served basis. A delay in checking in may mean that you end up on a later bus than originally estimated. If you must travel with a specific other saint, e.g. an adult travelling with a minor, please check in together with the Transport Team to ensure that you are given a seat on the same bus.
Once you arrive in Małe Ciche, please pay attention to the arrival instructions that you are given before you leave the bus, and make sure you visit all the stations at check-in. Enjoy the conference!

What happens if my arrival flight is delayed?
If your flight is delayed only for a short while and still arrives well within the announced shuttle pick-up window, then this should not be an issue and you may simply be on a shuttle departing later than estimated. Once you land at Kraków Airport (KRK), please make your way to check in with the Transport Team without delay.
Please include in your message:
- the flight number and where you are travelling from,
- your name and the names of other saints travelling with you,
- the name and WhatsApp number of a responsible saint who can stay in touch (will have connectivity and battery, etc.) with the Transport Team to receive further instructions.
What should I do if my luggage is lost or delayed in transit?
In the unfortunate event of your luggage being lost or delayed while in transit, you should report this to your airline at the airport and fill out their lost luggage form before you exit baggage claim.
If your luggage will be rerouted to you while you are still at the Conference in Poland, you can use the contact information provided in the Address for Lost Luggage. The Conference Office will let you know when it is delivered.
Departures and Drop-offs
What is the earliest departure flight I can book in order to catch a drop-off shuttle to Kraków Airport (KRK)?
Flights should be booked following the instructions given on the registration form and in coordination with the saints in your cluster and with your Country Coordinator. For departures, we recommend booking flights that depart on the evening of the last day of the conference (Saturday) so that you do not miss the last message or on the next day (Lord’s Day) after 9am.
If your flight is outside of this time window, you may need to make your own way to the airport by public bus or taxi. The Conference, together with your Country Coordinator, may be able to help arrange transport for larger groups who are unable to book a later flight to their country; however, please note that there will be an increased transport fee to cover the costs of smaller shuttles and buses that are not full.
My departure flight leaves early on Lord's Day morning (the day after the conference) from Kraków Airport (KRK). What should I do?
We recommend that flights departing on Lord’s Day be after 9am in order to give time to travel from Małe Ciche to the airport. (The bus departure time from Małe Ciche would be around 4am.) In this case, please set your departure date from Małe Ciche to Lord’s Day on your registration form; you will stay one extra night in the village and will need to pay for this through the registration form. Please remember that all young people staying longer in the village must have an adult travelling with them who is responsible for them.
If you have a flight departing on Lord’s Day before 9am from Kraków Airport (KRK), we would suggest requesting a drop-off shuttle to Kraków on the last day of the conference (Saturday) and staying closer to the airport that night. You will need to arrange your accommodation in Kraków yourself. In this case, please set your departure date from Małe Ciche to Saturday on your registration form.

What is the address of the conference venue?
The EYPC and EFC take place in the village of Małe Ciche with accommodation being spread over several guesthouses in the village.

I am making my own way to Małe Ciche; are there any restrictions to my arrival time?
Please do not plan to arrive in Małe Ciche before 9am or after 10pm on either evening. Those arriving outside of these times will not be received for conference check-in nor accommodation check-in until it opens.
Please note that on both Saturday and Lord’s Day, check-in will not open until the early afternoon, and lunch is not provided.
If you are arriving on Monday or later, please come to the Conference Office during office hours in order to check-in. You will need your badge to join any of the meetings. Rooms may not be available until later in the day.
If your travel plans mean that your arrival would be after 10pm, then please make arrangements to stay elsewhere and arrive the next day instead. One reason for this is that many of the Polish guesthouses do close up for the night. Very late arrivals would disturb the whole house, and we have also had cases of saints being unable to find their houses in the dark. Another reason for this limitation is that the Conference receiving team needs to get adequate rest before starting again early the next day.
What happens if I am running late and might not arrive before 10pm?
In the event that you experience unforeseen travel disruption that would push your arrival to after 10pm, please contact Bartek on (+44) 7415 044 571 (WhatsApp) or (+48) 780 683 785 (calls) as soon as you are aware of this. The coordinating saints will be able to let you know if you should continue to travel to the village that night or not.
Note: This is not necessary if you are travelling on one of the Conference-arranged shuttle buses from Kraków Airport and it is running late, as the Transport Team will keep the Conference updated.
I plan to drive to the Conference; where can I park my car?
How can I travel between Kraków Main Station (Kraków Główny) and Kraków Airport (KRK)?
The train takes approximately 15 minutes and tickets cost 20 zł. A taxi takes around 20-30 minutes and costs around 60-70 zł.
How can I travel from Kraków to Małe Ciche by myself?
By Bus
If you wish to make your own travel arrangements, it is recommended to take a bus from Kraków Airport (KRK) to Zakopane (~3 hours) via FlixBus and then another bus to Małe Ciche (30 minutes) via Szos-Mig. Buses cost approximately 60 zł from Kraków Airport (KRK) to Zakopane and 7 zł (cash only) from Zakopane to Małe Ciche.
By Taxi/Bolt/Uber
A taxi from Małe Ciche to Kraków Airport (KRK) will cost approximately 400-500zł depending on the time of day. This may increase during weekends.
Many locals use the app Bolt (like Uber), which you can find on any Android or iPhone app store. Uber also operates in Poland.
By Train
It is possible to travel by train to Małe Ciche from Kraków Main Station (Kraków Główny). Train tickets cost anywhere from 25-60 zł and the ride can take 2-4 hours.
From the train station in Zakopane, you will need to take a local bus (Szos-Mig) to get to Małe Ciche (30 minutes); tickets cost 7 zł (cash only).

Note that the Transport Team will be busy with airport arrivals and shuttles, so only contact the team if it absolutely necessary, e.g. if you have a travel disruption which means you may miss the pick-up shuttles window. During the Conference
You may come to see the Transport Team in the Conference Office during the office opening hours. If any of your departure travel information changes, including your day of departure from Małe Ciche, your flight information, or anything related to drop-off shuttles (including cancelling a shuttle), you must come to let the Transport Team know early in the week and no later than Tuesday night.
